Terms of service
These terms are a binding agreement between you and RootedLearn governing your use of our website, booking platform, and online tutoring service. Please read them carefully. By creating an account, booking a lesson, or otherwise using RootedLearn, you agree to these terms, our Privacy Policy, and our Cookie Policy.

1. About RootedLearn and these terms
RootedLearn provides an online tutoring platform where families and learners create learner profiles, request lesson packages, pay securely, choose from recommended tutors, join online lessons, and track progress through calendars, reports, materials, payments, support, and dispute tools. These terms apply to everyone who uses the platform. If you use RootedLearn on behalf of a household or organisation, you confirm you are authorised to accept these terms for it.
2. Definitions
- Guardian — an adult who creates and manages an account and bookings for one or more child learners.
- Learner — the person receiving tutoring, whether an independent adult learner or a child learner managed by a guardian.
- Tutor — an independent tutor who applies to teach and is approved to deliver lessons through the platform.
- Platform — the RootedLearn website, portal, and online classroom.
- Package — a set of lesson hours or sessions booked and paid for in advance.
3. Eligibility and age
You must be at least 18 years old to create an account, book lessons, make payments, or apply to tutor. Child learners must be added and managed by a guardian who accepts these terms on their behalf and supervises their use of the platform. Tutors must be adults legally able to provide tutoring services.
4. Accounts and guardian responsibility
You agree to provide accurate, current, and complete information, to keep your login details secure, and to be responsible for activity under your account. Tell us promptly if you suspect unauthorised access. Guardians are responsible for the learner profiles, bookings, supervision, and conduct of the child learners they manage, and for ensuring any information they provide about a child is accurate and appropriate to share.
5. The service
RootedLearn facilitates the booking and delivery of online tutoring and provides tools for scheduling, lessons, reports, materials, payments, and support. We are a platform connecting learners with independent tutors; we are not a school, examination body, or employer of tutors, and we do not deliver the tutoring ourselves.
6. Bookings, packages, and tutor selection
A lesson request may include learner details, selected subjects, schedule, package duration, hours per session, and any tutor preference. Payment is made before tutor selection. After payment, you choose from recommended, verified tutors through a private matching link. Only tutors who have completed our verification and review process are recommended. 7. Fees, payment, and currency
Package prices and any applicable taxes or fees are shown before you pay. Payments are processed by third-party payment providers; by paying, you authorise the charge and agree to the provider's terms. You are responsible for any bank, card, or currency-conversion charges your provider applies. We keep payment records for support, accounting, and legal purposes as described in our Privacy Policy.
8. Cancellations, reschedules, and refunds
Reschedules, cancellations, missed lessons, and refund or credit requests should be raised through our support and dispute flows. Whether a refund or credit is granted, and in what amount, depends on the booking details, payment status, lesson history, notice given, and the policy applicable at the time of review. Completed lessons are generally not refundable. No-shows and late cancellations may be treated as used lessons. See Support & disputes for how to raise a request and what to include.
9. Online lessons
Lessons are delivered through RootedLearn's online classroom. You are responsible for a suitable device, a stable internet connection, and a safe, quiet learning environment. Lesson links, materials, calendars, and reports are available through the relevant account dashboard. You must not record, capture, or redistribute a lesson without the consent of the people involved and, where a learner is a child, their guardian.
10. Tutors are independent contractors
Tutors provide services as independent contractors, not as employees, agents, or partners of RootedLearn. RootedLearn does not control the manner in which a tutor delivers a lesson beyond the standards in our Tutor Policy. Tutors are responsible for their own taxes and for meeting the platform's standards, verification, and conduct requirements.
11. Acceptable use and off-platform conduct
You agree not to:
- harass, abuse, threaten, discriminate against, exploit, or impersonate others;
- share harmful, illegal, or inappropriate content, or misuse classroom tools;
- attempt unauthorised access, disrupt the platform, or circumvent security or bot-protection;
- misuse another user's personal data or a learner's information;
- move lessons, payments, or required learner communication off RootedLearn in a way that avoids our safety, support, or payment processes.
Off-platform circumvention undermines learner safety and payment protection and may lead to account action. Safeguarding expectations are set out in our Safeguarding Policy.
12. User content and intellectual property
The platform, its content, and its branding belong to RootedLearn or its licensors and are protected by intellectual-property laws. You may use platform content only for the learning or teaching purpose it is provided for. Lesson materials, reports, assignments, and profile information must not be copied, resold, published, or misused without permission. You retain rights in content you submit, but grant RootedLearn a licence to host, display, and use it as needed to operate and improve the service.
13. Reviews and reports
Reviews, feedback, and lesson reports must be honest, respectful, and relevant. We may moderate, decline, or remove content that is abusive, misleading, or in breach of these terms, and we may use feedback to review tutor quality and platform safety.
14. Third-party services
We rely on third-party providers (for hosting, analytics, security, email, video, and payments). Your use of features that depend on them may also be subject to their terms. We are not responsible for third-party services we do not control.
15. No guarantee of outcomes; disclaimers
RootedLearn provides tools for booking, tutor selection, online learning, reporting, and support. We do not guarantee specific grades, admissions, examination results, scholarships, or other academic outcomes. Except as required by law, the platform is provided "as is" and "as available", without warranties of any kind, and we do not warrant that the service will be uninterrupted or error-free.
16. Limitation of liability
To the fullest extent permitted by law, RootedLearn is not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, or goodwill. Our total liability arising out of or relating to the service is limited to the amount you paid to RootedLearn for the booking giving rise to the claim in the three months before the event. Nothing in these terms limits liability that cannot be limited by law.
17. Indemnity
You agree to indemnify and hold RootedLearn harmless from claims, losses, and reasonable costs arising from your misuse of the platform, your breach of these terms, or your violation of another person's rights, to the extent permitted by law.
18. Suspension and termination
You may stop using the platform at any time. We may pause, restrict, suspend, or terminate access where there are safety, verification, payment, conduct, quality, or policy concerns, or where required by law. Some provisions — including payment, intellectual property, disclaimers, liability, and dispute terms — survive termination.
19. Governing law and disputes
These terms are governed by the laws of the State of Delaware, United States, without regard to conflict-of-laws rules, except where mandatory consumer-protection or data-protection laws in your country of residence apply. We encourage you to contact us first through Support & disputes so we can try to resolve any issue directly before formal proceedings.
20. Changes, severability, and contact
We may update the platform, features, pricing, and these terms from time to time. Where changes materially affect you, we will aim to give reasonable notice through platform or support channels; continued use after changes take effect means you accept them. If any provision is found unenforceable, the rest remain in force.
